That’s a good idea. Slots on certain professions could definitely help to manage things. I’m also wondering how table games would work. There are so many jobs that we’d need to fill to make the scene seem believable.
FeatherTrap will need to weigh in on this. If we decide to place these limits AND the casino wins the poll, I could place an appendix on my original message listing which roles are limited, with regular updates on which ones are available and which ones are taken.

Perhaps you’re right, it could let us extend the background out a bit more without a stage. As for a second floor space, I’m not against the idea, I’m just concerned about how much of the upper-space that will eat into.
Flier-mains take heed: the Casino theme is the worst one for fliers from this year’s selections. All the others have wide open skyboxes for you to spread your wings in, but for this one airspace will be quite limited…especially if we include a balcony. XP
(And it would be cool if we had some drunk pony riding the chandelier like a swing)
You know, one of my best friends might have just the pony for the job…neigh, his destiny.
@Twiface
Well, I vaguely before mentioned “contextual roles”, which would involve ponies being drawn in certain positions. I’m hoping the artist can provide assets that everyone can use-for example, a left and right facing chair vector that people can draw their ponies sitting on if they want to sit at one of the bistro’s tables, or a felt-cushion tool for those who want to sit by one of the slot machines.
Contextual roles would be limited, but based on how many people want them, I’d see what I can negotiate with the artist. For example, if almost no-one wants their pony to be sitting at the bistro then we might shove that side of the background further out of shot to make more room for slots and tables.

Of course, all of this only matters if the Casino theme wins…it’s on track to right now, but while most of the others seem to have no chance of competing, Moonbase Equestria only needs 5 more votes at present to overtake it.
And again-flier mains-if you want plenty of room for you to spread your wings, the Casino is the worst pick. It’s not like you won’t have any room, but it will be a lot more limited then any other choice.

Also, whoever voted “Other”, if you’re still here can you please tell us what your theme suggestion was? I might consider adding it to the pool for next year’s themes.

Currently we have a system that will allow the implementation of multiple characters. The numbers may be a bit low right now, I may be able to convince the artist to make the scale bigger if there’s going to be a large turnout.
We want the picture to be as full as possible without being overcrowded, small estimates where picked because previous year’s turnouts where around 50 or less, so I picked a background that would accommodate between 40 - 60 comfortably.
If people turn out in large enough numbers that there are more like 80+ entries then it’s worth expanding the background and thus increasing the count, but I’d like to know for sure first.

So far our policy is up to three characters per person (although I suppose we could raise the limit to four if you badger FeatherTrap about it). We reserve the right to limit it to two or one if there are too many submissions, but I don’t expect we’ll get that many.
If you want to add multiple characters and guarantee all of them will get in, draw them all next to each other and submit them as a single vector image like this:

Then we’ll have no choice but to include all of them.
And again-flier mains-if you want plenty of room for you to spread your wings, the Casino is the worst pick. It’s not like you won’t have any room, but it will be a lot more limited then any other choice.
I offer an olive branch to our flier friends here: give us the casino this year and we promise you that we’ll overcompensate next year by guaranteeing this as the background:
(Just kidding. Though if we do the casino this year, we’ll definitely choose something else next time)

Please read this post, I don’t think anyone’s seen it, I’m going to repost it here.
The compromise I proposed is that everyone can have three individual entries (listed in priority of descending important #1, #2 and #3), a paired entry of two OCs together and one additional entry (again #1 being the absolute priority and #2 if there’s space for it) or alternatively, one big group in which the person can add a bunch of OCs (maybe a hard limit of ten of their own) with no additional entries.
The point of this rule is to prevent the picture from either being too empty or overcrowded, that’s it.
(Just kidding. Though if we do the casino this year, we’ll definitely choose something else next time)
Well the themes will only be done once. Any rejected themes will be added back into the next year’s selection, but once a theme is selected we won’t do it again.
We can do conceptually similar ideas for future years (for instance maybe a couple of years from now everyone decides to go with a Cocktail Party, Fancy Restaurant or for the gambling side of things maybe a Racehorse Track), various aesthetics or time periods can be used multiple times (for instance if Moonbase Equestria gets chosen that doesn’t mean we can’t ever do space or sci/fi themed ever again), all that’s cool. I’d just like us to not do the same idea several times in a row.
I don’t know if we should allow “sequels”-like a “Trip to Las Pegasus II: Roulette Boogaloo”-to the collab themes, but if (and I do stress, IF) we do, they should be spaced at bare minimum 5 - 8 years apart.

I’m not sure what you’re asking here, but if you’re asking:
“Is my entry going to be rejected if I hire an artist from Derpibooru?”
The answer is: No, we’re not going to reject your entry just for that. We have our own problems with Dumpsterbooru but they don’t extend to regular users getting commissions. As long as it follows the rules it should be fine.
And yes, just so everyone is clear:
When uploading, tag it Ponybooru Collab 2024 so we can easily find it, then post a comment on this thread with a link to the image (preferably including the image itself, using the >>XXXXp feature)
So yes, make sure you tag your entry and upload it in this thread as well for easy reference please.

Also if you want to submit multiple OCs of yours, please remember the submission priority rules. You have the option of:
  • Maximum of three individual entries (tagged as #1, #2 and #3 at your discretion)
  • Maximum of two entries, one a pair of two OCs and the other an individual (tagged as #1 and #2, again you get to decide which goes where)
  • A group picture with up to ten of your OCs only, with no additional entries.
The number system refers to the priority/importance of each entry. #1’s will be part of the collab no matter what, #2’s will be added if the total pony count is below a certain threshold (I said 80 before, might increase it to 100 depending on how everyone feels) and #3’s will be added if the total pony count is below a certain critical threshold (I said 50 before, might raise it to 60 or 70).
And of course, these rules only apply to your own OCs. To provide an example of what I mean:
if you want to have say, one of your OCs be part of a group of twelve, along with eleven other friends that’s fine, and that would only count as one individual entry of your OC, thus you would still be entitled to make two others or a pair.

If you’re asking:
“Can I get a group picture with three of my OCs together”
Then Yes, you can. Just be aware that if you submit a group pic featuring 3 or more of your own OCs (maximum of ten in a single group picture) you cannot submit any other individual entries.
Also for the record, if you’re asking:
“Can I get a group pic with one of my OCs and two of my friend’s”
Then Yes you can. Also, in this hypothetical example, since only one of the OCs in the group is yours, that only counts as one OC entry, so you’re still entitled to submit either two OCs as single-entries or as a paired (group of two) entry.

am I allowed to commissioned artists from derpibooru and upload the new vector here as well?
Yes. Most people commission artists, and it doesn’t matter who you commission from, you just have to upload the finished image on this site.
(I was planning on getting a comm from Derpi myself since the selection of artists here isn’t great)
so I can do 3 on my ocs in a group?
Yes, and many people have done this in previous years.

I think we need to have a talk about this post here, this is a proposed set of rules for the collab, the intention behind it being to allow people to submit multiple entries while ensuring that we don’t run out of space.
Do we find them at all agreeable?

Ten seems a bit high. Six seems like a more reasonable number.
Other than that, it seems like a good system, though I’m not sure how we could concisely explain it.

Maybe it is a bit, the point is to give people the option to submit a sizeable number of ponies without taking up too much space. If they’re all clustered together in a big group then it’s easier to get more on screen for less space.

How about we just say there’s a maximum limit of 6, that we reserve the right to exclude submissions if there are over 100 but that everyone is entitled to have at least one character (priority based on order of submission), and that if submitting a large number we encourage them to all be in a group?
We need a simple blurb that we can put in the rules list (not that anyone actually reads it…) or to explain to people who ask because nobody else is thinking about this problem as hard as we are.

Seems like I missed some stuff while gaming and sleeping here…
If I’m still the one putting this together in the end then I have suggestions here.
Whatever the theme is, if we are going to include assets in the scene for interaction and/or posing, just make those assets items that can freely be added/removed/resized according to what the final turnout will be. If we end up having 10 game tables in the casino and only 2 or 3 characters made to be interacting with them, then that is just a lot of wasted space for normal posed character placement.
Having users submit several characters should not be any issue as long as the background has the space for it. As long as any furniture/assets in the scene are not super prominent or able to be altered after the fact (through layers of the image or just having them separate images to start with) then simply resizing character submissions down/up a bit would be no issue to accommodate all characters. No reason to randomly throw around arbitrary limits and such when we probably won’t have crazy amounts of submissions to begin with. If people want to make their OCs, their friend’s OCs, some community OCs (Little Pip, Snowdrop, Nyx/Dyx, Anon Filly, etc.), or just draw other people’s OCs who can’t really draw (like myself) then they certainly should be able to. Even if we only have like 3-4 people making all of the characters to be added, then that is fine.
This is currently just a non-official event by the few of us to make the community picture this year. If there are suggestions, concerns, or questions, then anyone only needs to ask. Also if a rule or whatever is thought up then it would be best to discuss it with everyone rather then just stating it as being a set in stone rule or whatever. One person’s idea might sound good to them but cause problems or concerns for others.
Discuss. Plan. Compromise. Complete.

I was wondering if and how many assets would be created, and how many would be made, so I can plan my submission.
For example, for the casino I want a character interacting with one of the table games, and I was wondering if I should ask the artist to include a table as part of the submission or just make a character to be placed next to an asset provided by somebody else.
No reason to randomly throw around arbitrary limits and such when we probably won’t have crazy amounts of submissions to begin with.
Yeah, I don’t recall any of the other site’s collabs having limits on numbers of characters, given that most people only submit one. Though it might be a good question to consider for future community collabs if the site grows, just so we don’t end up with a convoluted mess like Derpibooru’s collabs.
I’m tempted to raise the character limit to 4 or 6 and/or delete the other bits about ranking and characters being together, just so we have clear and concise rules that everyone can understand. But I don’t want to act unilaterally here. Does anyone else agree that I should just do that?
“Everyone’s too dumb to read this, so let’s just give them a flat number” <:P
Even if they’re smart enough to understand, they won’t if we can’t explain it well enough. All the other collabs have rules simple enough that they can be listed as bullet points, and my list was initially just me paraphrasing last year’s rules as written by Acres (with the AI ban added by popular demand).
If you have a specific edit you’d like me to edit the rules list, just state something and I can add it verbatim.

I have read through these 2 pages multiple times and I’m not sure I understand what’s happening. I’m think my objection was addressed already, about the multiple characters posing together, including one of the pictures from the previous image I was thinking of specifically as an example being approved of now.
Meaning: 1 person can have multiple OCs posing together like in the previous collabs.
That was really my only issue, and if that’s now okay then I’m all good.
I’m not worried about the site growing tremendously seeing as how our only selling point is “we’re not derpi”
I’m tired from the heat and other things so I’m not even sure if what I just wrote now makes sense.
